The headline figure in a property advert is not always your final monthly housing cost. Kaltmiete, Warmmiete, Nebenkosten and Kaution mean different things. Combining them into one “rent” line can distort both your monthly budget and the money needed to move in.

The aim is to compare equivalent cost components, not find the lowest number. The calculations below are learning examples, not local market prices or personal financial advice. Use actual amounts from contracts, service offers and your own needs.

The difference between Kaltmiete and Warmmiete

Kaltmiete normally means the basic monthly rent for the property. Warmmiete adds agreed additional costs. Check the exact services in the contract: “warm” does not mean every utility and unlimited internet are included.

The official housing guide explains the distinction and notes that some services may require separate contracts. Do not assume how electricity, heating or hot water are charged; the building's systems and agreement affect the breakdown.

Compare the advert and contract figures. Ask in writing what was added if they differ. A verbal “roughly that amount” is not a clear final obligation; each payment needs a description and period.

Vorauszahlung and Pauschale are not the same

Vorauszahlung means an advance payment; Pauschale means an agreed flat-rate charge. Section 556 BGB distinguishes these operating-cost arrangements and provides for annual settlement of advance payments. An advance is therefore not a guaranteed cap on final expenditure.

The settlement may produce an additional payment or refund. Do not automatically apply the same annual reconciliation rule to every flat-rate arrangement. Check the contract and applicable rules; seek advice with evidence if the bill appears wrong.

Ask “Welche Kosten sind als Vorauszahlung und welche als Pauschale vereinbart?” and add the answer to your budget. This clarifies why the monthly figure may change later.

Calculate monthly costs in separate groups

First, payments to the landlord; second, payments to separate providers; third, personal location-related costs such as commuting; and fourth, your own reserve for variable or unexpected spending.

A reserve is a planning tool, not an actual contractual debt. Keep it separate from bills. Its size depends on income, consumption, available funds and circumstances; there is no need for a universal percentage.

In this fictional example, Warmmiete is €800 and the listed monthly total is €950. Food and other living expenses are excluded. So €950 is not a complete monthly living budget either.

Keep the deposit separate from monthly rent

Kaution secures tenancy obligations; it is not an ordinary recurring monthly service charge. Section 551 BGB sets the residential-tenancy security limit by reference to monthly rent excluding operating costs, and allows a cash deposit to be paid in three equal monthly instalments. Have special cases or disputes assessed individually.

Three times the illustrative €620 basic rent is €1,860. That does not mean every landlord asks for this amount. Check the actual deposit and schedule in the contract. A possible future refund does not remove the need for funds when moving in.

Do not unilaterally substitute the deposit for the final rent payment. Refund conditions, outstanding claims and timing are separate matters. This article does not advise withholding payment or unilateral set-off in an individual dispute.

Prepare a separate move-in budget

The first month may involve furniture, equipment, removals, temporary accommodation or connection charges. Mark these as one-off needs, not recurring costs. Confirm in writing whether items are included or sold separately.

Include any period of overlapping payments for two homes. Contract start and actual moving day may differ. Key collection and furniture delivery must also fit your work schedule.

Consider the first payday when calculating available cash. Future income is not money available for a bill due today. Do not substitute an uncertain bonus for starting funds.

Illustrative comparison: lower basic rent may cost more overall

Home A has lower Kaltmiete, but separate electricity, internet and a long commute. Home B has higher basic rent, but a short commute and some included services. Comparing only basic rent misses an important difference.

The applicant fills the same columns for each offer and marks unknowns “not clarified”, not zero. They decide once the information is complete. The example does not claim expensive homes are always better; it shows why the comparison basis must match.

Do not assume either answer. Check the specific services and payment arrangement in the contract. Add a separate contract to your budget if required.

Does a low advance payment mean a cheaper offer?
