Even after signing an employment contract, practical questions remain: where to go on day one, which documents to send to whom, when pay is calculated and how to supply information that is not yet available. A short, organised exchange with HR brings these questions together.

HR means the human resources department or the person responsible for staff. In a small business, this may be the manager. What matters is knowing who is authorised to answer each question. HR support does not replace a public authority’s decision or permission.

Get a precise plan for your first day

Ask for the date, time, address and the contact who will meet you. The company address in your contract may differ from the actual workplace. Find out in advance about security checks, access cards or special clothing.

Ask “Who will I meet on my first day?” separately from a general “Is everything ready?” Induction, document checks and actual work may happen on the same day or on different days. Do not book other personal appointments close together before understanding the schedule.

Know whom to inform if travel is delayed or the start date changes. Save both a phone number and a written contact channel. Ask for an alternative contact so one employee’s holiday does not interrupt all communication.

Resolve differences between the contract and discussions

The Make it in Germany employment contract guide highlights workplace, duties, pay and working hours. Point out to HR the specific difference between an oral discussion and the written document. Instead of “you said something else”, identify the clause and what you understood.

Separate gross base pay from bonuses and expense reimbursements. Ask about the first payment date and how a partial month is calculated. This does not guarantee a universal personal net figure: payroll depends on individual details and applicable rules.

How are hours recorded, where do you get the shift schedule and who authorises overtime? Routine practical questions can still be clarified after signing. Seek independent advice for legal disputes or unclear obligations.

Send documents according to a list and purpose

Obtain HR’s list of information required for your particular situation. Add a deadline and submission channel to each item. A passport, evidence of work permission, insurance details and bank details can serve different purposes.

Do not guess an identifier that has not been issued. Say “Not yet received; this is the application status” and ask what can be provided temporarily. Hiding a pending document makes later processing harder.

Information groupQuestion to clarify
Start of workWhat date and address are confirmed?
Permission evidenceWhich exact document needs to be seen?
InsuranceWhich details are needed and by when?
Bank detailsWhich secure channel should I use?
Missing evidenceTo whom and by when should it be supplied?
Day-to-day contactWhom do I inform about illness or lateness?

This table is a tool for working with HR, not an official mandatory checklist. Check the company’s requirements separately. A banking password or one-time code is not a payroll bank detail; independently verify any such request.

Check insurance alongside the employment start date

Agree what HR will arrange and what information you must supply. Recheck the insurance start date if the employment date changes. Written confirmation of cover from the relevant insurer is important.

Do not confuse a pending physical card or a submitted application with the final status. Avoid unnecessary disclosure of health details to HR. Clarify the required evidence and appropriate channel; personnel correspondence is not medical advice.

Know how to report lateness and illness

Which number or person should you contact, and how? Is email enough or is a call required? Obtain the company’s current instructions. Practices from a previous workplace do not automatically apply.

Do not assume a universal number of days for medical evidence or other confirmation. Check HR’s instructions and applicable rules. In a health emergency, seek necessary help first rather than waiting for a work-chat response.

Illustrative email template

The following is a practice example for a fictional candidate; adapt it to your circumstances:

Vielen Dank.

The email avoids unnecessary personal detail, asks three specific questions and does not hide the missing document. Check that the evidence, recipient and situation match your case before sending. Do not say “I have requested it” if you have not.

Turn replies into a final checklist

Once HR replies, mark completed items. Track receipt as well as sending. For a new question, identify the unresolved item instead of repeating the entire previous email.

The guide to moving to Germany for workcan be linked to this checklist. Do not assume a document sent to the company automatically reaches a public authority; the two processes may have different contacts.

Questions and answers

What if I cannot send a document on time?

Notify HR before the deadline, explain the reason and actual status, and ask whether temporary evidence is accepted. Do not fill a gap with a made-up number.

Can HR answer every visa question?

The company can provide employment information but cannot replace the competent authority’s individual decision. Clarify uncertainty about permission with the relevant authority or an authorised adviser.

What if my first email has too many questions?

Group questions briefly by topic and put urgent ones first. One clear list instead of dozens of mixed messages makes replies easier to track.
