A common mistake when preparing a Fahrerkarte application is applying one city's online checklist to all of Germany. Confirm the responsible authority, submission method and fees for your own situation. Having a card issued and being ready to work as a professional driver are also separate matters.

This article organises questions before an initial application. It is not tachograph training or permission to drive without a card. If a card is lost, damaged or nearing expiry, identify the situation correctly first: different procedures may apply.

State the application type in the first sentence

Is this your first card, a renewal or a replacement for a lost card? Disclose any valid card issued in another country. Applying for the first time in Germany is not necessarily applying for your first-ever card.

The Bundesportal service page for Schleswig-Holstein explains that each driver may hold only one valid Fahrerkarte and that checks are carried out. Do not try to obtain a spare second card. Give the authority accurate information about any existing card.

You can write: “Ich beantrage zum ersten Mal eine Fahrerkarte” or “Ich habe bereits eine in einem anderen Staat ausgestellte Fahrerkarte.” Use only the sentence that matches your actual situation.

Identify the responsible authority for your address

Select your region on the official service portal and check which authority or organisation handles your case. If your employer's location differs from your residence, ask which criterion applies. The nearest office is not automatically responsible.

Do not mistake a search advert or an intermediary's page for the official application site. Check the authority's name, contact details and service area. Know exactly which organisation receives your data before uploading personal documents.

Record the date and main answers after a telephone consultation. For a complex case, ask whether a written enquiry with supporting documents is needed. Do not describe verbal advice as a final decision to issue a card.

Tailor the document checklist to your case

Identity, driving entitlement and a photograph are commonly discussed. Obtain local requirements for the exact format, originals, translations and address evidence. The Bundesportal page above also says information depends on the selected region; do not transfer every detail to another city.

For a foreign licence, ask separately about accepted evidence and translations. Checking documents for the card does not establish that every driving or professional-employment requirement is met. Keep these as separate questions even within one email.

Confirm the photo format before ordering. Do not assume paper or digital submission from an old online checklist. If names differ across documents, ask what additional evidence is needed; do not alter documents yourself to standardise the spelling.

Sample enquiry to the authority

The following is a sample for guidance. Remove statements that do not fit your circumstances and do not unnecessarily include confidential numbers in an ordinary email.

Vielen Dank.

The email asks about responsibility, documents, the photo, personal attendance, fees and estimated processing time. Check whether the reply covers every point before sending another enquiry. If it only lists documents but leaves submission unclear, follow up on that specific gap.

Separate submission from receipt dates

Submission, acknowledgement, a request for missing documents and availability for collection are separate events. A payment receipt does not mean the card is ready. A “sent” status in an online account does not mean the physical card has reached you.

Confirm delivery or collection in advance. Who needs to know if your address changes, and what happens if post is returned? Do not tie your start date too closely to an estimated issue date; discuss uncertain stages openly with your employer.

Illustrative example: while a licence is being exchanged

Imagine Ulugbek's licence exchange is still in progress. He does not know which document to enter in his Fahrerkarte application. Instead of filling in an old online template, he explains the ongoing exchange and available evidence to the authority.

He prepares documents according to the reply and waits for missing evidence if necessary. He does not invent a future licence number or treat submission as permission to drive professionally. The outcome is case-specific; this example does not guarantee that two applications will always be accepted simultaneously.

Check the card after receiving it

Check your name, validity period and other details. Ask the issuing organisation how to correct any error. Do not alter the data yourself. Complete the company's relevant training on using the card.

The guide to preparing for work in Germany helps build an overall document plan. The Fahrerkarte is only one part: the licence, professional qualification and permitted employment status need separate checks.

Questions and answers

Is there one nationwide price for a Fahrerkarte?

Ask the responsible organisation for its current fee and delivery costs rather than relying on a universal figure. A price from another region is not a confirmed charge for your application.

Can I work without a card while my application is pending?

Do not confuse waiting for a first card with special procedures for loss or malfunction. Obtain official instructions for your exact situation before driving; do not rely on an ordinary application acknowledgement.

Can my employer handle everything for me?

An employer can provide organisational help, but ask the authority who must apply, sign, verify their identity and whether authorisation is required. Give helpers only the information necessary for the stated purpose.
