On the phone, facial expressions, gestures and written text cannot help you. When a name, date or email address is said quickly, missing one sound can disrupt the next contact. Prepare a system for obtaining and confirming information rather than a long monologue.

This guide covers routine calls to an employer, course provider or other organisation. The German examples are illustrative and use the formal Sie form. They do not guarantee that every issue will be resolved by phone or that you will receive an answer; they help define the desired outcome clearly.

Write down one objective before calling

What do you need to know: the appointment time, whether documents arrived, or the right contact person? Choose one main objective. Giving your entire life story in the opening sentence makes it harder to direct you to the correct department.

Have your name, reference number, advert or previous correspondence date and two questions in front of you. Unnecessary personal document details are not needed. Verify the phone number on the official website; do not assume a number in an unknown message belongs to the company.

Prepare paper or a convenient note-taking window. Doing another task during the call can make you miss key information. Do not practise or make these calls while driving or carrying out hazardous work.

A concise opening

Guten Tag, mein Name ist [Vorname Nachname]. Ich rufe wegen meiner Bewerbung als [Position] an. Könnte ich bitte mit der zuständigen Person sprechen?

You introduce yourself, identify the application and ask for the responsible person. If you have not actually submitted an application, replace meiner Bewerbung with the appropriate topic. Do not create a misleading context.

Once connected, briefly repeat the opening if needed. Do not assume reception passed on every detail. Then move to your question instead of retelling a long story from the start.

If the person is busy, ask “Wann wäre ein Rückruf passend?” to find a suitable callback time. Record any specific time given. Do not turn “later” into a date of your own choosing.

Check names and email addresses

If you did not catch the name, ask for spelling: “Könnten Sie Ihren Namen bitte buchstabieren?” Be ready to say your own surname in parts if it is long or unfamiliar. Repeat the unclear part if a letter is uncertain.

Ask “Wie lautet Ihre E-Mail-Adresse?” Then repeat the address in parts. Dots, hyphens, underscores and domain endings matter. Hearing the name correctly does not mean the full email address is correct.

For language practice, you can use kontakt@beispiel.invalid as a sample address with no real recipient. Do not use it to send actual documents. In a real call, compare the address with an official page or written confirmation where possible.

Confirm date and time together

If you hear “Am Dienstag”, ask for the exact date when needed. A weekday alone may be insufficient for an appointment far ahead. Make sure the time zone is clear between countries too.

“Ich wiederhole kurz: am fünfzehnten Oktober um vierzehn Uhr, richtig?” confirms 15 October at 14:00. The example date is fictional. Use the exact day and time of your actual appointment.

Be careful with half-hour expressions: the German halb drei means 2:30. Use the 24-hour clock for precision. For example, “Meinen Sie vierzehn Uhr dreißig?” asks “Do you mean 14:30?”

Do not try to transcribe every word. Keep the important agreements. A separate field for open questions prevents confusing them with confirmed answers. If an audio recording is needed, first clarify the required consent and procedure; do not record secretly.

Practice dialogue: follow-up and documents

This is a practice example. After learning the responsible person is unavailable, the applicant does not send all documents to a random address. They clarify the channel and subject line, check the official advert’s address and write a short email.

The aim is not to obtain a positive decision during the call. Identifying the correct next step is a useful result too. Do not interpret help from reception as a hiring decision.

Misunderstanding and connection problems

“Die Verbindung ist schlecht. Könnten Sie den letzten Satz bitte wiederholen?” explains that the connection is poor and asks for the last sentence again. You need not restart the entire call; identify what was lost.

Ask the speaker to slow down if needed. Do not guess an important number you did not catch. Asking for the necessary information to be confirmed by email is another option.

If you call back after disconnection, briefly identify yourself and mention the interruption. Keep what you already learned and continue from the unclear point. Accuracy matters more than rushing.

Practice after the call

Tidy your notes immediately: are dates, names and the next task clear? Prepare the requested email or file. Then note one phrase you found difficult and practise it in another situation.
