A common cause of delay when preparing a ZAB application is discovering a required document too late. An applicant orders a diploma translation without knowing that a transcript or other educational records are needed. Start with the purpose of the assessment, then check your individual list.

Zeugnisbewertung, known in English as Statement of Comparability, compares a foreign university degree with the German education system. This guide organises preparation; it does not promise a positive assessment. Check the application form, fee and requirements on ZAB's official website when applying.

Do you need this particular service?

ZAB's official explanation describes comparing a foreign university degree with a German education level. It is not a professional licence, automatic university admission or a conversion of grades into the German system. Do not blur the exact service into a generic “diploma recognition”.

Clarify the purpose: an employer's request, evidence for an immigration route or another process? Ask the requesting organisation to specify the exact document in writing. University degrees and vocational qualifications may require different applications.

Check beforehand whether existing anabin evidence is sufficient or an individual assessment is needed. Ordering more documents does not automatically strengthen an application. Time and money spent on the wrong service do not simplify the next stage.

Complete the Pre-Check using your own education history

The official application page recommends the Pre-Check to assess general eligibility and obtain the document checklist. Answer using your own records, not a friend's education. Selecting the wrong country, degree or programme can misdirect your preparation.

Save the result and mark each document as available, to obtain or to clarify. Identify the issuing organisation for missing items. Replace “find it later” with a specific source and next action.

Do not conceal two degrees, transferred studies or a university name change as one simple programme. A consistent education history matters. If the upload category is unclear, check official instructions or ask through the official contact channel.

Document inventory: check content, not just files

TranslationLanguage and form required by the checklistAlign the order with the requirements

Open each document and inspect its contents. A file named “diploma” does not prove the correct diploma was uploaded. Mixing two people's documents increases mistakes; keep separate personal folders.

Do not replace unreadable text with guesses. Rescan poor-quality scans. If the original is damaged or information is missing, ask the issuing institution about an official remedy.

A translation does not replace the original-language document

ZAB explains that a required translation is additional to the document in its original language. Do not submit only the translation and omit the original-language copy. Use your individual checklist and application instructions to determine translation requirements.

Before ordering, clarify the number of documents, language, certification form and final file type. Provide the passport spelling of your name without asking the translator to hide a different original spelling. Any difference must remain clear and consistent.

Compare the translation page by page with the original: dates, degree, institution and numbers. Finding an error does not authorise editing the certified document yourself; arrange correction through the translator.

Your account and communication

The process uses a ZAB account linked to BundID. Keep it under your control: do not distribute login credentials and check messages regularly. If an intermediary assists, clarify their authority and your access to information.

Saving a draft is different from submitting an application. After final submission, check the confirmation, reference and fee notice. Obtain payment details from your official account, not an unsolicited messenger message.

For an existing application, send messages and additional documents through ZAB's specified account channel. A coherent case history is more useful than distributing the same material to multiple addresses. State the document and issue briefly.

How should you plan the timeline?

The date you start an application may differ from receipt of complete documents and payment. Read when the official processing period begins. A shorter period for a special procedure does not apply to every application.

Do not guarantee the fastest possible timeline to an employer. Allow for obtaining documents, translation, corrections and further questions. Report actual status changes rather than speculative “nearly ready” statements.

Do not copy a fee from an old blog or someone else's receipt. Use the current tariff and fee notice when applying. This article does not promise a fixed price or completion date that may become outdated.

An illustrative case: a page of the supplement is missing

Suppose an applicant has prepared the diploma and translation, but the last page of the transcript is missing from the copy. Page numbering reveals the incomplete set. This is an illustrative example, not a real client story.

Do not take the missing page from another person's document. Check your own original, obtain a replacement from the university if needed and ensure the translation is complete. Then recheck every page. A simple inventory can catch the problem before a further-document request.

Frequently asked questions

Is a positive assessment guaranteed?

No. Prepared files and payment do not guarantee a positive outcome. Assessment is based on educational records and the relevant criteria. An intermediary's promise does not replace ZAB's decision.

Should I post the original documents?

Do not send them based on an assumption. Follow current instructions and any individual request. Uploading a requested copy and mailing the physical original are different actions.

Does the statement authorise professional practice?

It does not itself authorise every profession. Regulated occupations require a separate professional procedure. Employment and immigration documentation remain independent requirements.

What should I prepare for a consultation?
