The text gives the purpose, two options and a time zone. Refer to Berlin time only if that is genuinely your planning basis. Replace placeholders with real details and remove the online-meeting sentence if it does not apply.

Give genuine availability rather than “any time”. If only certain days work, say so clearly. You must be able to keep the times you propose available.

Template 2: confirming the time

Do not ask again if the link has already been sent. Check the email thread and calendar invitation first. For an in-person meeting, replace the online section with confirmation of the exact address or meeting point.

When copying the time, check that an old option has not remained. A new date in the confirmation email but an old calendar entry can cause a missed appointment. Keep the email, calendar and personal schedule consistent.

This is a request, not a unilateral confirmation of a new appointment. Do not assume the new option has been accepted before receiving a reply. Give a brief, truthful reason if necessary; unnecessary personal details are not required.

Avoid date and time confusion

Do not leave the table’s placeholders in the final email. Do not invent a platform name if it is unknown. Clarify who will send the link and when.

Illustrative example: two time zones

Imagine an applicant in Uzbekistan and a contact in Germany, with an email stating only 10:00. The applicant plans to add the time difference from memory and enter it in the calendar. This is an illustration, not a real meeting.

First clarify which local time is meant, then check the calendar invitation’s time zone and device settings. Seasonal clock changes mean you should not assume the same difference all year. Check the actual meeting date.
