Without a reply, applicants may fall into two extremes: sending daily reminders or stopping their entire search while waiting for one company. A follow-up is not a way to force a response. Its purpose is to briefly clarify the application's status and next stage.

You cannot know the reason for silence from outside. Selection may still be underway, documents may be missing, or there may be a technical issue or rejection. Without evidence, these are possibilities rather than facts. The steps below focus on checks instead of guesses.

First check whether the application arrived

Check the address, date and attachments in your sent folder. If the message bounced, read the reason: an incorrect address, size limit or another technical issue. Do not distribute documents to guessed address variations; check the advert or official website.

For portal applications, check the status and submission confirmation. A saved draft is not a submitted application. Record any confirmation number and search your inbox and spam folder using the company and vacancy reference.

Does the attachment open? Does a document link require additional access? Fix an identified issue before asking about status. Without signs of a problem, do not rush to resend everything and create a duplicate application.

How do you decide when to follow up?

There is no universal response day for all employers. Check the closing date, acknowledgement and any timeline agreed in the interview. Respect instructions not to request updates until selection is complete.

If an agreed response date has passed, a polite enquiry makes sense. If no date was given, set a personal review date in your tracker. It is your planning date, not an obligation imposed on the employer.

You may honestly mention a real deadline for another offer. Do not invent “decide today or I will go elsewhere” pressure. Explain your decision timeline rather than issuing an ultimatum.

Which question fits each stage?

SituationUseful questionUnhelpful action
Submitted, no acknowledgementHave the documents arrived? The same message to every employee
Portal confirmation receivedIs there an update on the next steps?Resubmitting every day
Interview completedWhat is the status of the agreed next stage? An entirely new cover letter
Requested document sentWas the material received?Unrequested personal documents
Rejection receivedCould you provide brief helpful feedback?Pressuring them to change the decision

Do not put every question into one email. Identify your application's stage and ask what is relevant now. A short message makes it easier to find the correspondence and provide a useful reply.

German template after applying

This is an adaptable practice template. Replace the placeholders and omit the reference if the advert has none.

Guten Tag,
[Vorname Nachname]

The opening identifies the application. The next part asks about documents and the process without accusing the employer of neglect. Offering missing documents does not mean sending confidential information before knowing what is required.

Replying in the existing thread is often convenient. If the automated message came from a no-reply address, use the stated contact channel instead. Repeatedly writing to an address that cannot accept replies may achieve nothing.

Use a different template after an interview

Guten Tag,
[Vorname Nachname]

Only include a date actually discussed. If no date was promised, remove that sentence. A positive conversation does not justify writing “you promised to hire me”.

If the employer is waiting for a document from you, send it first. Demanding speed while overlooking your own outstanding task confuses the process. Briefly mention the document and submission date.

An illustrative situation: which email should you send?

Suppose an applicant submitted through a portal, received confirmation and completed an online interview. A reply was expected the following week, which has now passed, while the portal status is unchanged. This is not an account of a real company.

The applicant first checks correspondence and that no documents are outstanding on their side. They then send the interview contact a short message based on the second template. They do not reattach the CV, which was already submitted and not requested again. They record the enquiry date and keep exploring suitable vacancies.

If the reply is “no decision yet”, clarify a new timeline or contact arrangement. Even continued silence is not a final judgment on your professional value. Your search plan should not depend on one application alone.

How should you review an unanswered application?

Compare the vacancy's main requirements with evidence in your CV. Is relevant experience visible? Is your real language level clear? Is there a major mismatch in location or availability? These are questions to investigate, not proven reasons for the silence.

Do not completely rewrite your CV after every unanswered application. If the same issue repeats across several suitable roles, review the relevant section carefully. Strengthen the link between duties and experience rather than merely adding text.

For further searching, use the guide to job platforms. The company's own advert remains the main guide for your application. Do not automatically send the same follow-up to every employer.

Frequently asked questions

Will calling get a faster reply?

There is no guarantee. Check whether calls are welcome and what the number is intended for. Have your name, job title and application date ready. Avoid repeating the same question to several departments.

Can I ask why I was rejected?

You can ask politely and briefly, but detailed feedback is not guaranteed. Use any reply to improve your preparation. Arguing or pressuring for a reversal can make useful feedback less likely.

How many reminders should I send?

There is no universal number. Start with one justified enquiry, then follow the response and instructions. Do not make daily messages a routine. Leave time in your search plan for other opportunities.

Can I write again after obtaining a new certificate?

If it matters to that vacancy, briefly send it as an update to your existing application through the correct channel. Do not claim to hold a certificate you have not received. Every minor change does not require a new email.
